Why Xactimate Changes Everything for Homeowners

Most homeowners do not realize there is a right and wrong way for a restoration contractor to submit an insurance estimate. When a contractor sends a spreadsheet or a PDF invoice to your insurer, the adjuster has to manually compare it against their own pricing database — and those comparisons almost always result in reductions.

Xactimate is the estimating platform that insurance adjusters use internally. When we submit an estimate in Xactimate format, it uses the same line items and pricing that your adjuster already has in front of them. There is nothing to dispute. The scope of work either matches the documented damage or it does not — and we document everything on-site from the first hour.

The result: faster approvals, no back-and-forth about whether our rates are reasonable, and a final settlement that accurately reflects the full scope of the damage. In most cases, you pay your deductible and we handle the rest directly with your carrier.

Direct Carrier Billing

We bill your insurer directly. You provide your claim number and policy information — we handle all communication with your adjuster from estimate submission through final payment.

How We Handle Your Claim, Step by Step

From the first call to the final check, here is exactly what happens when you work with Green Clean on an insurance claim.

You Call Us — We Dispatch Immediately

Call us first, before your insurance company. Your policy requires you to mitigate damage promptly — that means getting extraction and drying started, not waiting on hold for an adjuster. We dispatch within 30 minutes. Your claim documentation starts the moment we arrive on-site.

On-Site Documentation — Photographs, Moisture Readings, Scope

Our team photographs all damage systematically, takes calibrated moisture readings throughout the affected area, and documents the cause of loss. This creates the evidentiary record your insurer needs to approve the claim. We do this on arrival, before any cleanup begins.

We Notify Your Insurance Company

We contact your carrier on your behalf, open the claim, and provide initial loss documentation. You provide your policy information and any claim number you have been given. We take it from there — you will not be put in the position of explaining restoration scope to an adjuster who has not seen the damage.

Xactimate Estimate Submitted to Your Adjuster

We generate a complete Xactimate estimate itemizing every line of scope — extraction, drying, demolition, contents handling, and reconstruction — and submit it to your adjuster. Because we use the same pricing platform, approvals move quickly and there are no pricing disputes to resolve.

Work Completed — You Pay Your Deductible

We complete all approved work — from emergency extraction through full reconstruction if needed — and collect payment directly from your insurer. You pay your deductible at project completion. We handle supplemental submissions if additional hidden damage is discovered during work.
